Declaration of GenAI Use

As artificial intelligence technologies rapidly evolve, the International Informatics Express Journal (IIEJ) recognizes the growing role of Generative AI (GenAI) and Large Language Models (LLMs) in academic research and writing.

To maintain the highest standards of research integrity, transparency, and ethical publishing, IIEJ has established the following policy regarding the use of AI tools (e.g., ChatGPT, Gemini, Claude, etc.) based on the guidelines provided by the Committee on Publication Ethics (COPE).

1. AI Cannot Be an Author

Artificial Intelligence tools and Large Language Models do not meet the fundamental criteria for authorship. AI cannot take legal or ethical responsibility for a submitted work, understand conflicts of interest, or hold copyright. Therefore, AI tools must never be listed as an author or co-author on any manuscript submitted to IIEJ.

2. Full Human Accountability

The human authors are completely accountable and responsible for the originality, validity, accuracy, and integrity of their manuscript. Authors must meticulously review, verify, and edit any text, data, code, or citations generated by an AI tool. Authors take full responsibility for ensuring that the use of AI does not violate plagiarism policies, infringe on third-party copyrights, or include fabricated (hallucinated) data or references.

3. Acceptable Use of AI

Authors are permitted to use AI tools to improve the readability, language, grammar, and overall linguistic presentation of their manuscript (especially for non-native English speakers). AI may also be used as a supportive tool in the research methodology (e.g., data analysis or coding assistance), provided that the process is thoroughly documented and scientifically sound.

4. Mandatory Declaration

If authors use Generative AI tools in the writing process or in generating insights for the manuscript, they must transparently disclose this use upon submission.

  • Where to declare: A statement must be included in a dedicated section titled "Declaration of Generative AI Use", placed at the end of the manuscript (immediately before the References section).
  • What to include: The statement must specify the name of the AI tool, the version or model used, and a brief description of how it was applied.
  • Exception: The use of basic writing assistance tools (such as Grammarly, standard spell-checkers, or reference management software) does not require disclosure.

Example of an Acceptable Declaration Statement:

"During the preparation of this work, the author(s) used [NAME OF AI TOOL, e.g., ChatGPT-4] in order to [REASON, e.g., improve the English phrasing and grammar of the introduction]. After using this tool/service, the author(s) thoroughly reviewed and edited the content as needed and take(s) full responsibility for the final content of the publication."

Failure to disclose the significant use of Generative AI tools may be treated as a breach of publication ethics and could result in the rejection or retraction of the manuscript.
